Applications for Erasmus+ KA103 Faculty & Staff Exchange and Swiss Staff Exchange Mobility: 2019-2020

Applications for Erasmus+ (KA103) and Swiss Staff Exchange Mobility are now open! Deadline for application is 22 November 2019. The Erasmus+ KA103 Mobility covers the Erasmus+ Program countries in Europe.

The last information session for Erasmus+ Staff Exchange Program will be held on the following date:

  • 14 Nov, 13:00-14:00, Loc: Student Council Room

APPLICATION: 

Please apply through KUAPP (http://kuapp.ku.edu.tr) from 1 November to 22 November, 2019 

The following documents must be uploaded to KUAPP:

  • CV in English
  • Invitation Letter from the host institution
  • Teaching Agreement (for academic staff) or Training Agreement (for administrative staff) signed by the host institution
  • Special Needs Statement (if applicable)

For Administrative Staff members only: 

  • Confirmation letter stating you can participate in the Erasmus+ training mobility program for the proposed date/duration, signed by your supervisor.
  • English Language Certificate for administrative staff (one of the following should be submitted with the application)

§ If you have studied at an English-taught university please submit a copy of your diploma
§ If you have taken the HR department’s English proficiency test please submit your test certificate
§ If you have no language proficiency test score or document you should request an interview with the ELC department. ELC will provide you with written confirmation of your English proficiency to submit with your application.

EVALUATION CRITERIA:

FACULTY EXCHANGE: STAFF MOBILITY FOR TEACHING ASSIGNMENTS (STA)

  • Staff Mobility for Teaching Agreement: providing a detailed program and plan for mobility: +10 points
  • Job experience at Koç University:
  • 1-3 years: + 3 points
  • 3-5 years: + 5 points
  • 5+ years : + 10 points
  • Erasmus Faculty/Department Coordinators at the time of application: +10 points
  • Members of the Department/Faculty/Graduate School taking part in the program for the first time: +10 points
  • First applications: +10 points
  • Disabled staff members receive +10 points if documents proving your disability are submitted with the application.
  • Spouse and/or children of a martyr and/or veterans receive +10 points if documents proving their status are submitted with the application.
  • Former applicants: -5 points
  • Being a resident of the outgoing country: -5 points
  • Applicants who are selected but cancel their application after OIP’s cancellation deadline will lose -10 points on their next application (except in exceptional circumstances, i.e. force majeure).

Important Notes:

If more than one applicant receives the same score;

  • Priority is given to the applicant who has no prior or less participation in the Erasmus+ KA103 staff mobility program
  • Priority is given to the applicant who has been employed longest at Koç University (a calculation is made based on year, month and day)

STAFF EXCHANGE: STAFF MOBILITY FOR TRAINING (STT)

  • Staff Mobility for Training Agreement: providing a detailed program and plan for mobility: +10 points
  • English Certificate of Competence (min. B1 level) or a successful English interview: Compulsory. However, an applicant will be given a higher score if documentation is submitted demonstrating a higher English proficiency (language exam scorecard, etc).
    • o B2 level English proficiency receives +5 points
    • o C1 level English proficiency receives +7 points
    • o C2 level English proficiency receives +10 points
    • Employment at Koç University:
      • o 1-3 years: +3 points
      • o 3-5 years: +5 points
      • o 5+ years : +10 points
    • Members of the Department taking part in the program for the first time: +10 points
    • First applications: +10 points
    • Disabled staff members receive +10 points if documents proving their disability are submitted with the application.

ERASMUS+ FUNDING:

Financial support is available for academic staff to teach abroad and for University staff to train at a foreign university.

Travel support is provided according to the distance from Istanbul and the city of the host university (varies from €20-€1,500). Distances and the maximum amount of travel support can be calculated with the EU Commission’s Distance Calculator tool.

Please note that the Erasmus+ Grant does not cover all of your expenses during your mobility. Participants are responsible for all other incurred expenses.

Additional grant for participants with special needs: Special allowances are available in cases where a disability or health condition leads to additional mobility costs which exceed the maximum grant allocations and which cannot be recovered from other sources. The grant covers approved actual costs. Participants should contact OIP to apply for additional support.

Teaching Mobility

STAFF MOBILITY FOR TEACHING ASSIGNMENTS (STA)

Erasmus+ allows university academic staff to teach at partner universities via bilateral agreements in which staff mobility for teaching assignments is expected. Teaching periods are limited to minimum two days and maximum two months duration for KA103 Staff Mobility, on the basis of minimum eight lecture hours per week. The objectives of the STA are:

  • to provide teaching staff with opportunities for personal and professional development
  • to share expertise in specialist areas within teacher education, to deepen mutual understanding of different European Education Systems and to raise the profile of the European Dimension in Education
  • to allow students who are not able to participate in mobility to benefit from the knowledge and expertise of staff in other European institutions.

Important Note: To participate in this mobility program, your Department/School/Faculty/Institute must have a valid Erasmus+ Faculty exchange agreement with the partner institution you intend to visit. Our current partners can be found on the Institutional Partner List. If you wish to visit an institution that is not yet our partner, please notify the Office of International Programs (OIP) (partner@ku.edu.tr) to initiate procedures for a new agreement. Please note that an institution must have an Erasmus Charter to participate in this mobility.

Training Mobility

STAFF MOBILITY FOR TRAINING (STT)

Administrative staff of a university with an Erasmus University Charter (EUC) can also benefit from staff mobility training (STT) at an Erasmus partner university or business. Staff mobility training (STT) includes three types of mobility:

  • University staff members going to a partner business and vice versa: The purpose of this type of mobility is to train participants through the knowledge sharing and experience. Basic activities include: seminars, workshops, courses, practice and education processes, short-term assignments etc. A partnership agreement is not required for business mobilities.
  • University executive and administrative staff going to another university: The purpose of this type of mobility is for participants to learn from another institution's experience and good practices and to improve required skills for their assignments. Basic activities include study visits, short term assignments and on the job training programs. A partnership agreement is not required for training mobilities.
  • University academic staff going to another higher education institution for training.

Training periods are limited to minimum two days and maximum two months duration.

Important Notes:

  • Academic staff traveling to another higher education institution to attend training conferences and congresses cannot be funded within the scope of the program.
  • An institutional partnership/ Erasmus+ agreement is not required for administrative staff members to participate in exchange programs.

Quotas* for the 2019-20 Academic Year:

The total quota for administrative staff exchange is 13.

SWISS STAFF MOBILITY

Following the 9 February 2014 federal vote, negotiations between Switzerland and the EU regarding participation in the Erasmus+ program have been suspended. Swiss higher education institutions can therefore no longer participate in Erasmus+.

However, academic and higher education staff may teach or train at a partner university in Switzerland under the new “Swiss-European Mobility Program”. Grants will be paid by the Swiss partner institutions.

Duration: Minimum two days and maximum two months (at least eight teaching hours for teaching mobility.)

Grants: CHF 170 per day (up to 14 days) for incoming staff and a travel grant according to distance.
